Privacy Collection Notice.

Flex Force X Operations Pty Ltd (ACN 692 102 971; ABN 70 692 102 971), registered office Level 29, 66 Goulburn Street, Sydney NSW 2000, operates FlexForce X.

This Privacy Collection Notice explains, at the point we collect information from you, what personal information we collect, why we collect it, who we may disclose it to, and how you can contact us. It should be read together with our Privacy Policy, Cookie and Tracking Notice, and Terms and Conditions.

1. When This Notice Applies

This notice applies when you create an account, request access, use flexforcex.fitness or flexforcex.app, use the FlexForce X iOS application, interact with AI-powered coaching features, connect wearable, health, calendar, location, or nutrition integrations, contact support, or otherwise provide information to us.

We may show this notice during onboarding, before optional iOS permission prompts, and when you provide or connect health, fitness, nutrition, location, calendar, wearable, or AI-input data.

2. Personal Information We Collect

Depending on how you use the Service, we may collect:

  • Identity and contact details, such as your name, email address, account identifiers, role, and support contact details.
  • Access-request information, including training context, wearable status, weekly training volume, intake answers, consent status, submission time, and campaign parameters included in the page URL.
  • Account and profile information, including authentication identifiers, preferences, goals, schedule constraints, settings, and account status.
  • Health and fitness information, including sleep, heart rate, HRV, activity, workouts, recovery signals, soreness, fatigue, injury flags, and readiness-related information you provide or authorise us to access.
  • Training, nutrition, supplement, recovery, and wellbeing data, including workout logs, meal logs, food preferences, dietary constraints, recovery notes, and check-ins.
  • Wearable, Apple HealthKit, calendar, location, and mapping data, but only where you choose to connect the relevant integration or grant the relevant iOS permission.
  • AI inputs and outputs, including questions, prompts, context supplied by you, generated plans, recommendations, decision traces, safety checks, and related system outputs.
  • Technical and operational information, including device and app information, authentication events, server-side application logs, security events, and service reliability records.
  • Payment and subscription status information where you purchase paid features, noting that App Store purchases are processed by Apple.

3. Sensitive Information And Consent

Some information we collect, including health and fitness information, may be sensitive information under the Privacy Act 1988 (Cth). We collect sensitive information only where you provide it to us, where you authorise an integration such as Apple HealthKit or a wearable service, or where the law otherwise permits us to collect it.

You can decline optional permissions. If you do, the affected feature may not work or may produce less personalised guidance.

4. Why We Collect And Use This Information

We collect and use personal information to:

  • review access requests and operate controlled deployment cohorts;
  • create and maintain your account and authenticate your access;
  • provide AI-powered training, recovery, nutrition, sleep, supplement, and scheduling guidance;
  • generate readiness, safety, adjustment, and decision-trace outputs;
  • personalise the Service using information you provide and integrations you enable;
  • queue and synchronise offline app actions where supported;
  • provide customer support, handle complaints, process account deletion requests, and respond to privacy requests;
  • secure the Service, detect misuse, investigate unauthorised access, and maintain auditability;
  • process subscriptions, billing status, and refund requests where applicable;
  • diagnose bugs, improve reliability, and improve our internal systems and AI models in accordance with our Privacy Policy and Terms.

5. AI Features And Model Improvement

The Service uses AI systems to generate personalised coaching and decision support. The outputs depend on the information available to the systems at the time. AI outputs may be incomplete, inaccurate, unsuitable, or similar to outputs generated for other users.

Your inputs may be used to personalise your account and to improve our internal systems, including by learning from previous meals, workouts, recovery sessions, and readiness signals. Where we use an AI service provider to process personal information, it processes that information for us. We do not permit third-party AI providers to use identifiable personal information from the Service to train their general models unless we first notify you and obtain any consent required by law.

The Service is for general fitness, wellbeing, and performance support. It is not medical advice and is not intended to diagnose, treat, cure, manage, alleviate, or prevent any disease, injury, or medical condition.

6. Who We May Disclose Information To

We may disclose personal information to:

  • our personnel, contractors, advisers, and related entities where needed to operate the Service;
  • infrastructure, authentication, database, cloud hosting, storage, email, support, and security providers;
  • AI processing providers and other technical service providers that help us provide the Service;
  • Apple, App Store, payment, and subscription service providers where you purchase through or use those services;
  • wearable, Apple HealthKit, calendar, location, mapping, food, or restaurant data providers where you choose to connect or use those third-party services;
  • regulators, law enforcement, courts, dispute resolution bodies, or other parties where required or authorised by law;
  • professional advisers, insurers, and parties involved in a corporate transaction, subject to appropriate confidentiality protections.

We do not sell personal information. We do not use advertising, retargeting, or cross-site tracking cookies. We use Vercel Web Analytics on flexforcex.fitness for aggregate website traffic and page-view reporting, and we do not use session replay, advertising pixels, or comparable marketing analytics tools on flexforcex.fitness, flexforcex.app, or in the FFX App.

7. Overseas Disclosure And Storage

We store personal information primarily in Australia. Some service providers or third-party integrations may store, transfer, or access personal information outside Australia, including in countries where those providers operate. We take reasonable steps to use providers that protect the information they process for us.

8. If You Do Not Provide Information

If you do not provide requested information, we may be unable to approve access, create or maintain your account, provide personalised AI coaching, connect integrations, respond to support or privacy requests, process deletion requests, or supply parts of the Service.

9. Your Choices And Controls

  • You can manage Apple HealthKit, Calendar, Location, and other iOS permissions in iOS settings.
  • You can disconnect supported integrations where available in the App.
  • You can clear local app data through Settings -> Account -> Clear local data.
  • You can delete your account through Settings -> Account -> Delete account, or by contacting support during controlled deployment.
  • You can request access, correction, export, or deletion of personal information by contacting the privacy inbox below.

10. Privacy Policy And Complaints

Our Privacy Policy explains how we handle personal information, how you may access or correct personal information, how you may make a privacy complaint, and how we will deal with that complaint.
